Procedure for launching a faxing campaign |
|
1) Create a new database |
|
To start a faxing campaign, you must create a database in which contact data will be stored.
|
2) Import contacts into database |
|
Your data must be contained in text files. The different data must be separated by semicolons or tabs and must be organized into a single record per line in the text file. Data must always belong to a group.
|
3) Optional: Eliminate duplicates from the database |
|
This operation eliminates contacts imported several times to keep only one.
|
4) Edit your fax in text format, HTML format or select a compatible file |
|
You can add images and many other features in your fax.
|
5) Optional: Sort your data, group, ungroup. |
|
You have several options for grouping or ungrouping your data, depending on the quantity of data, in alphabetical order, etc.
|
6) Program or directly launch your faxing. |
|
You have two options for starting your faxing: immediately or delayed. Deferred processing is very useful in the case of launching a large faxing campaign because processing can be scheduled at night. The fax machine settings you want to use must have been entered beforehand.

Procedure for receiving returned emails |
|
It is possible to process returns from your faxing by asking contacts for feedback by e-mail to carry out a survey or to stop the subscription.
|
1) Correctly configure the email reception settings. |
|
You must enter your email account login details.
|
2) Enable receiving emails. |
|
Just check an option in the settings.
|
3) Complete the keywords |
|
Feedback can be of 2 different types: automatic unsubscribe or survey. These messages are detected by identifying a keyword in the subject of the message. The software detects these keywords in the subject of emails and counts them. The principle is the same for accounting during a survey with the keyword of your choice.

|
Allows you to create a new database. This database contains various contact data. You can create as many databases as you want. Databases use XML technology. The XML format is a format that can be used from a simple text format editor.

Allows you to select a database other than the active one.

Import data |
|
This menu allows you to import data from a file. Accepted separators are tabs and semicolons (Format better known as CSV EXCEL).

For that it is necessary : |
|
- 1) Enter or select the path of a file to import.
|
- 2) Optional: Check the “LOTS” box if you want to process all the files in the directory.
|
- 3) Create or select a group that will contain the imported data. In the case of batch processing, the group name will be the name of the imported file.
|
- 4) Enter the fields corresponding to the data to import following the first line of the file. You can press the button to refresh the data as many times as you want.
|
Note: The “skip first record” option must be checked if the file to import contains the column names at the beginning of the file. |

Add data to a group |
|
This menu allows you to manually enter a record into the database.
|
Delete all data |
|
Allows you to delete all data from the database (groups, data).
|
Multi criteria search |
|
Allows you to select data according to specific criteria.
|
From this selection of data, it is possible to: |
|
- Transfer recordings to submission.
|
- Export records to a new XML database.
|
|
- Delete the current record.
|

Reset all data |
|
This menu allows you to reset the data. During a faxing campaign, any fax sent to a given contact is checked in the database. This allows you to avoid sending multiple emails to the same contact in the same campaign.

|
Allows you to remove duplicate contacts throughout the database.

Add a group |
|
This menu allows you to create data groups or groups of data groups.
|
Delete a group |
|
This menu allows you to delete a group and all the data it contains. If it is only a group of groups, only the highest level group is deleted.

|
Allows you to separate data into subgroups.
|

|
Allows you to separate data into subgroups.

Faxes can be sent in text format, in html format or with a compatible file.

Add a fax |
|
This menu allows you to create a fax with attachments. Faxes are created in plain text. The text can be enriched with tags which will be replaced by the corresponding texts when sending the fax.

Edit a fax |
|
This menu allows you to modify an already created fax. The fax is selected based on its subject.
|
Delete a fax |
|
This menu allows you to delete a fax.
|
Send Menu |
|
Faxing |
|
This menu allows you to launch the faxing campaign. To do this, you must:1) Select a previously entered mail.2) Select the contacts to whom you want to send the fax.3) Press SEND The user can interrupt the current operation at any time and resume it later .

|
Allows you to create a delayed fax send.

|
Receive emails |
|
Allows you to retrieve information from emails returned by fax recipients. When enabled, it updates subscription termination information or survey data.

Surveys |
|
Allows you to create surveys. Surveys are counted by identifying a keyword of your choice in the subject of the email returned by the contact upon receipt. Clearly, you must make the request in the fax to respond with the chosen keyword in a return e-mail.
